Whether you're planning a wedding, corporate function, birthday celebration, gala dinner, school formal or private event, one of the first payments you'll usually make is a booking deposit or booking fee.


It's also one of the most common questions we receive.

"Why is the deposit non-refundable?"

"Why do some companies only ask for $100 while others require 50%?"

"What happens if our event needs to be postponed?"

Booking a Date Means Reserving a Business

When you book an event company, you're not simply paying for a few hours on the day.

You're reserving that company's time, equipment, staff and expertise exclusively for your event.


Whether it's a DJ, photographer, photo booth, MC, videographer or entertainer, once your booking is confirmed, that date is removed from their calendar.


For many event companies—particularly those that specialise in weddings and weekend functions—that means declining every other enquiry for that same date.


Unlike hotels or restaurants, we can't simply sell the same Saturday to someone else.

Once it's booked, it's gone.

Booking fees aren't designed to lock clients into a contract. They're designed to allow businesses to confidently reserve a date and begin preparing for your event. Long before the first guest arrives, professional event companies are already investing time into your booking.

Illness, family emergencies, venue issues and other unexpected life events can happen, and when they do, our first priority is to work with our clients to find a practical and fair solution.


Where possible, we'll explore options such as transferring your booking to a new available date or applying the funds you've already paid as a credit towards another Vanguard service or future event, in accordance with our Terms & Conditions. Every situation is different, which is why we assess each request individually rather than applying a rigid, one-size-fits-all policy.


That said, it's important to understand what happens once your booking is confirmed. From the moment your booking fee is received, we begin investing time and resources into your event. We reserve your date exclusively—often months or even years in advance—meaning we may decline numerous other enquiries for the same day.


Planning also begins immediately. We create your event file, prepare your consultation and planning documents, set up your client portal, contact your venue to introduce ourselves as your chosen entertainment provider, supply our Public Liability Insurance and any required documentation, coordinate with your venue and other suppliers, schedule staff, allocate equipment and begin preparing for your event long before the day arrives.


For this reason, our booking fees are generally non-refundable. They represent far more than simply reserving a date—they reflect the commitment we've made to your event and the planning, administration and resources that begin from the moment your booking is confirmed.


However, our goal has never been to profit from cancellations or simply keep people's deposits. Our goal is to deliver exceptional events. When genuine and unforeseen circumstances arise, we'll always do our best to work with you, communicate openly and find the most reasonable outcome possible while balancing the commitments we've already made and the resources dedicated to your booking.

The Truth About $100 Deposits

Every business is free to choose its own payment structure, and a small deposit doesn't automatically mean a company is unreliable.


However, it's worth asking yourself one important question.


How committed is a business to reserving one of its busiest dates for only $100?

Likewise, how committed is a client if they've only invested $100?

Imagine booking entertainment for your Christmas party, wedding or corporate gala twelve months in advance. If another company offers a cheaper price six months later, it can be very easy to walk away from a $100 deposit. Unfortunately, by that stage the original supplier may have already declined numerous enquiries for the same date.

Those opportunities can't usually be recovered. Professional event companies build their booking policies around preventing exactly that situation.


Experience Creates Demand

One thing many people don't realise is that experienced event professionals are often booked well in advance. Popular Saturdays during wedding season can fill 12 to 24 months ahead. Corporate Christmas functions often book six to twelve months in advance.

School formals, awards nights and community events frequently secure entertainment many months before the event. When an experienced supplier accepts your booking, they're making a genuine commitment to your date. A booking fee reflects that commitment.


Refunds Aren't About Punishing Clients

One of the biggest misconceptions in the events industry is that if an event hasn't taken place yet, no work has been completed. In reality, the planning process begins almost immediately after your booking is confirmed. At Vanguard Events & Entertainment, securing your date is just the beginning. Once your booking fee has been received, we start preparing behind the scenes to ensure your event runs as smoothly as possible.


Depending on your event, this may include contacting your venue to introduce ourselves as your chosen entertainment provider, supplying our Public Liability Insurance certificates and any other documentation your venue requires, creating your event file, preparing your consultation and planning documents, setting up your client portal, scheduling planning meetings, and beginning the coordination process with your venue and other suppliers.


As your event gets closer, we continue working with you to develop timelines, run sheets, music preferences, formalities and logistics so that everything comes together seamlessly on the day.


This work represents many hours of planning before we even load a single piece of equipment. If a booking is cancelled, we don't simply lose the event itself. We've also reserved that date exclusively for you and may have turned away multiple enquiries for the same day. In many cases, particularly for weddings and Saturday events, those opportunities cannot be replaced at short notice.


For this reason, booking fees are generally non-refundable across much of the events industry. They're not a penalty, nor are they a charge for "doing nothing." They reflect the genuine time, planning, administration and business commitment that begins from the moment your booking is confirmed.

What About Credits?

Life doesn't always go according to plan. Illness, family emergencies, venue issues and unforeseen circumstances can sometimes mean an event needs to be postponed.

Many professional event companies will work with clients wherever reasonably possible to transfer payments to a new available date or provide a booking credit in accordance with their Terms & Conditions.


Every situation is different, but flexibility and open communication usually achieve the best outcome for everyone involved.


Choosing Value Over the Cheapest Price

When comparing event suppliers, it's easy to focus on the deposit amount.

But that's only one small part of the picture.

Instead, ask questions like:

  • How long have they been in business?

  • Do they have recent reviews?

  • Are they insured?

  • Do they have backup equipment?

  • Do they have contingency plans if staff become ill?

  • How do they communicate during the planning process?

  • Who will actually be attending your event?

  • What happens if something unexpected occurs?


These questions often tell you far more about the quality of a business than the size of its deposit.
