To ensure we provide the most accurate and cost-effective quote possible, we begin the process with a brief telephone consultation. This initial conversation allows us to understand exactly what you're looking for and how we can best support your event. Whether you’re planning a wedding, corporate function, milestone celebration or community event, every occasion is different — and so are the requirements. By speaking with you directly, we can ask the right questions, gain a clearer picture of your expectations, and identify the specific services that will best suit your needs. This helps us avoid making assumptions or offering packages that include services you may not require. Our goal is to make sure you receive a customised quote that reflects your actual needs — no more, no less. This not only helps prevent overcharging but also allows us to ensure that you’re getting the best possible value for money. It’s important to us that our pricing is transparent, fair, and aligned with your event goals. The phone consultation typically takes no more than 10–15 minutes and is scheduled at a time that suits you. During this conversation, we’ll cover a few key areas: the type and size of your event, the services you’re interested in (e.g. DJing, event styling, photography, videography, photo booth, or MC services), your preferred venue and date, and any particular themes or ideas you have in mind. We’ll also be happy to answer any questions you might have about our services or process. By taking this step early on, we’re able to work more efficiently, allocate the right resources, and begin building a strong working relationship with you from the outset. It sets the tone for a collaborative and stress-free planning experience, which is something we deeply value at Vanguard. If you decide to proceed after the consultation, we’ll send through a fully itemised quote tailored to your event, with all costs clearly outlined. From there, we’ll guide you through the rest of the planning process to ensure your event is everything you envisioned — and more. We believe that great events start with great conversations. That’s why we don’t just send out generic quotes — we take the time to listen first.

Vanguard Events & Entertainment – Free Phone Consultation Booking Policy Effective May 2025 | Applicable to bookings within Queensland, Australia Purpose of the Consultation At Vanguard Events & Entertainment, we offer a complimentary phone consultation to better understand the details of your upcoming event and ensure our quote is tailored to your exact needs. This allows us to provide accurate pricing and recommend the most suitable services. Booking the Consultation Clients can request a free consultation by submitting an enquiry through our website, email, or by phone. Once your request is received, a member of our team will contact you to arrange a suitable time for a brief phone call (usually 10–15 minutes). You may also be offered a link to schedule your preferred time through our online calendar. What We’ll Cover During the consultation, we’ll discuss: The type and date of your event The expected number of guests Your venue/location (if confirmed) The services you’re interested in (e.g. DJ, styling, photography, etc.) Any specific ideas, themes, or requirements you’d like us to consider This helps us prepare a tailored, obligation-free quote. No Obligation to Book The phone consultation is entirely free of charge. There is no obligation to proceed with a booking after the consultation. Quotes provided after the consultation are valid for 14 days unless otherwise stated. Client Responsibilities Please ensure that the person attending the consultation is authorised to make decisions or provide accurate information about the event. We ask that you provide a reliable contact number and be available at the agreed time. If you need to reschedule or cancel the consultation, please let us know at least 24 hours in advance where possible. Rescheduling or Non-Attendance We understand that plans can change. If you're unable to attend your scheduled call, we are happy to reschedule. If no one is available at the agreed time and we are unable to reach you after two follow-up attempts, the consultation request may be marked as closed. You're welcome to rebook at a later stage. Privacy and Data Use Any personal information shared during the consultation will be treated confidentially and in accordance with the Australian Privacy Principles (APPs).
